Introduction
These Terms and Conditions apply to all education workshops, training programs, and events (“Workshops”) delivered by Geoconnected Ltd (“we”, “us”, or “our”). By booking or participating in our services, the client (“you”, “your”, or “school/organisation”) agrees to be bound by these terms.
Bookings and Payments

Workshop bookings must be confirmed in writing via email or through our booking system.

A deposit of 50% is required to secure your booking. Your booking is confirmed when you have paid the deposit. This will form a contract between you and Geoconnected Ltd. You must contact us immediately if any of the details on the booking are incorrect as this may harm your rights if there are any inaccuracies. The Client has sole responsibility of entering details correctly.

The final 50% is due within seven days after the workshop occurs and will include all final travel disbursements. Note that Geoconnected Ltd charges for travel are provided as estimates at the time of booking and may fluctuate depending on final costs.

Late payments may incur an additional fee of 2% per month. The client shall be responsible on a full indemnity basis for all costs and fees incurred by Geoconnected in enforcing payment of any overdue account.
Cancellations and Rescheduling

Cancellations made more than 14 business days before the workshop will receive a refund of the fee paid, minus a 20% administration fee, plus any unrecoverable travel or event costs.

Refunds (minus the 20% administration fee) will be issued for bookings cancelled with more than 14 days to go before the event date. After this time, no refunds will be given but you may be able to reschedule your booking to an alternative event within a 12-month period. An additional £30 rebooking fee will be charged if you cancel and reschedule with less than 72 hours' notice before the start of the event

If a school withdraws from a booked workshop within 14 days of the session date or fails to attend the session, they will not be entitled to a refund.

Schools that do not attend a workshop will be required to pay all outstanding fees.

If a workshop is postponed due to special considerations or unforeseen circumstances (e.g., extreme weather, school closure), we will make every effort to reschedule at no additional cost.

When a workshop has been cancelled, or a request for special consideration has been received and approved, please allow up to 14 days for Geoconnected Ltd to process the refund.
Extenuating Circumstances

If a School or Organisation wishes to cancel their workshop within 14 days and they believe there are extenuating circumstances that warrant special consideration, they may apply to Geoconnected Ltd for a refund.

The application must be made in writing to kate@geoconnected.co.uk and be accompanied by relevant documentation to support the claim.

An application for special consideration does not guarantee acceptance, and each application will be considered on its merits by Geoconnected Ltd.

If the application is successful, Geoconencted Ltd will offer a course transfer to another session of the same value or refund the fee, less any reasonable costs, not more than 20%, to cover any administration costs, plus any unrecoverable travel and event costs.
Responsibilities and Safety

We will provide trained facilitators, all necessary equipment, and safety instructions for each session.

You agree to provide a safe venue, adequate supervision, and inform us of any health or behavioural concerns among students that may affect participation.

Participants must follow all safety guidelines provided by our facilitators. We reserve the right to exclude any participant engaging in unsafe or disruptive behaviour.
Intellectual Property

All workshop content, including lesson plans, handouts, presentations, and materials, is the intellectual property of Geoconnected Ltd unless otherwise stated.

No part of the workshop may be recorded, reproduced, or distributed without our written permission.
Photography and Media Consent

We may occasionally take photos or video during workshops for promotional or educational purposes.

Consent will be sought in advance from schools and parents/guardians where required.

You have the right to request exclusion from media use in writing.
Liability

While we take all reasonable precautions, we are not liable for any injury, loss, or damage incurred during our workshops unless caused by our proven negligence.

It is your responsibility to ensure appropriate insurance and duty of care during the workshop.
Privacy

Any personal information collected is used solely for booking, delivery, and feedback purposes and will not be shared with third parties without consent, in accordance with applicable privacy laws.
Feedback and Complaints

We value your feedback and aim to resolve issues promptly. Please contact Kate Bartels on 07780 603534 within 7 days of your workshop to raise any concerns.

These Terms and Conditions may be updated from time to time. The latest version will always be available upon request or on our website.
